Roles and Responsibilities of the Regional Coordinators and their Officers
1. Regional Coordinator
❖ Responsible and accountable for all the activities of the Regional Committee. ❖ Promote the goals of FAMSA in their region.
❖ The RC shall organize Regional Conferences or Workshops on a theme as may be approved by the Executive Council.
❖ Work with MSA Presidents, FAMSA Officers and Executive Council Members from their region to organize programmes and promote the aims and objectives of FAMSA. ❖ Decide the place and time of Regional Conference.
❖ Prepare and present an annual plan of the Regional Committee to the FAMSA Executive Board.
❖ Call and lead the Regional Committee meetings.
❖ Make continuous communication with members of FAMSA Executive Board and other Regions of FAMSA and Standing Committee Chairpersons.
❖ Prepare and forward written Quarterly Reports of FAMSA activities in their region to the General Secretariat and FAMSA Headquarters and present Annual Reports of same to the General Assembly.
❖ Give recognition for best performing MSA every 4 months.
❖ Host call outs for vacant positions in the Regional Committee.
2. FAMSA Officers
❖ Monitoring the activities of Standing Committee Local Officers in their MSA. ❖ Issuing Activity certificates to Local Officers upon completion of an activity and completing the activities worksheet.
❖ Writing monthly reports and submitting to the Vice-Regional Coordinator Internal Affairs (VRCI).
❖ Representing their MSAs in the bi-monthly Regional Committee meetings. ❖ Publicise the activities of the Regional Committee in their MSAs such as workshops, seminars and the Regional Conference.
❖ Reporting a change of Presidents in their MSA.
3. Secretary
❖ Prepare minutes for meetings.
❖ Keep a record of all the activities of the Regional Committee.
❖ Keep a record of the status, contact, address and achievements of Regional Council members.
❖ Preparing letters and documents for the Regional Committee.
❖ Keep a record of all MSAs in the Region, noting the registered MSAs and their Officers. ❖ Prepare call out forms for vacant positions in the Regional Committee.
4. Finance Officer
❖ Assist the Regional Coordinator to control the finances of the Region.
❖ Prepare an annual budget of the Region.
❖ Prepare a financial report to be submitted, via the Regional Coordinator, to the FAMSA Treasurer every 6 months or per request of the FAMSA Treasurer or the Regional Committee.
❖ Assist the Regional Coordinator with seeking sponsorship, fund-raising and financial partnerships in collaboration with the VRCE.
5. Vice-Regional Coordinator External Affairs (VRCE)
❖ Assist the Regional Coordinator to improve the image of FAMSA in the Region as well as establish fruitful contacts with Regional and National organizations.
❖ Assist the Regional Coordinator to search for partners, funders, sponsors and supporters for the Region.
❖ Be responsible for the Regional Social Media Accounts.
6. Vice-Regional Coordinator Internal Affairs (VRCI)
❖ Assist the Regional Coordinator to coordinate FAMSA Officers in the Region. ❖ Assist the Regional Coordinator to follow, support, supervise and monitor ground works of MSAs.
❖ Receive monthly reports from FAMSA officers on the activities of the Local Officers of Standing Committees.
❖ Motivate MSAs by providing opportunities and recognitions for the best performing MSA. ❖ Represent the Regional Coordinator in Regional Activities when he can not. ❖ Increase the intimacy of MSAs and The Regional Council.
❖ Form a committee in order to organize projects that can be applied over the region. ❖ Supervise and monitor running regional projects.
7. Vice-Regional Coordinator Membership and Capacity Building (VRCMCB) ❖ Assist the Regional Coordinator to increase the membership of MSAs in the region. ❖ Receive a list of non-member MSAs in the Region from the Regional Council Secretary and work to recruit them.
❖ Prepare physical and online trainings, experience sharing, workshops, events and other interactive programs to build the capacity of member medical students. ❖ Assist and motivate medical students in the Region to participate in Researches, publications, public health and other activities of FAMSA.
